Privacy Policy

1. About this policy

RenTrip provides self-drive car and bike rental services through its website and mobile applications. Vehicles are supplied and handed over by hosts and dealers engaged by RenTrip. To provide these services we collect and use personal information about you.

This policy applies to www.rentrip.in, our apps, our support channels including phone, WhatsApp and email, and offline forms collected at a pickup location. It covers renters, hosts and dealers, corporate account users and site visitors. It does not apply to third-party sites you reach through a link from us.

This policy explains how we handle personal data and nothing more. It does not define the commercial, contractual or tax relationship between RenTrip, its customers and its hosts and dealers — those are set out in our Terms of Use, host and dealer agreements, and invoices.

Rentrip Services Private Limited is the Data Fiduciary for the data you give us. Hosts and dealers are separate businesses engaged by RenTrip; they are contractually required to use your details only for your booking, keep them confidential, and delete them when no longer needed.

Written to comply with the Digital Personal Data Protection Act, 2023 and Rules, 2025, and the Information Technology Act, 2000 and its rules.

2. What we collect

You give us: name, mobile, email, password (stored encrypted), date of birth, address, profile photo. Driving licence and a government ID such as Aadhaar, PAN, Voter ID or Passport, plus a photograph for identity matching; for international renters, passport and IDP. Booking details — vehicle, locations, duration, invoice, deposit, balance, fuel and toll records, damage reports, handover photographs, challans, and reviews. Payment method, transaction and refund status, and bank or UPI details where a refund or payout is due. We never store your full card number, CVV or PIN — card payments are handled by RBI-authorised gateways on their own systems. Hosts also give us business name, GSTIN, PAN, payout bank details, and vehicle RC, insurance, PUC, fitness and permit documents. Support emails, chats and call recordings, where recording is disclosed at the start of the call.

Where Aadhaar is used only as address proof, we ask you to mask the first eight digits and we do not retain full Aadhaar numbers.

Collected automatically: device type, OS, browser, app version, IP address, pages viewed, searches, clicks, cookies, and crash logs.

Location: if you enable location permission, we use it to show nearby vehicles and directions, and you can switch it off in device settings. Some vehicles carry host-fitted GPS devices; this is disclosed on the vehicle details page before you book, and that data reaches us only on theft, accident, a police request or a trip dispute.

From others: verification results from KYC partners, payment and fraud signals from gateways, campaign data from advertising platforms, and public records such as VAHAN for verifying vehicle documents.

We do not knowingly collect data on your religion, caste, politics, sexual orientation or health,; we do not operate facial recognition.

3. Why we use it

To create and run your account; process bookings, cancellations and refunds; verify that your licence is valid for the vehicle class, as the law requires before handover; give the host what is needed to hand the vehicle to the right person; collect rent and deposits, pay hosts, issue GST invoices; detect fake documents, defaulters and misuse; answer questions and resolve damage and challan disputes; meet obligations under the Companies Act, GST law and the Motor Vehicles Act; understand demand and fix problems; and send offers where you have consented.

We rely on your consent for most of this, and on the legitimate uses permitted by the DPDP Act where you have voluntarily given data for a purpose, where a law or court order applies, or in a medical or safety emergency. You may withdraw consent at any time. Withdrawing consent for data needed to run a booking means we can no longer provide the service and an active booking may be cancelled.

4. Who we share it with

We do not sell your personal data.

We share it with: the host handing over your vehicle (name, mobile, booking reference, vehicle, duration, deposit, balance and verification documents, not your card details); payment gateways, banks and payout partners; KYC and verification providers; insurers and surveyors in a claim; service providers who work for us under contract, including cloud hosting, SMS, email, WhatsApp, analytics, support and accounting; your employer where a corporate account is used; law enforcement, courts and regulators where legally required; an acquiring entity if RenTrip is merged, restructured or sold, with notice to you; and advertising and analytics platforms, in aggregated or pseudonymised form.

5. Where it is stored

Your data is stored on servers in India. Some providers may process it outside India, under contracts requiring the same standard of protection set out here. We comply with any government restriction on transfers to particular countries.

6. Cookies

We use essential cookies for login, cart and session security; performance cookies to understand how the site is used; and advertising cookies to measure campaigns. You can block or delete cookies in your browser or device settings, though blocking essential cookies will break login and booking. You can opt out of advertising tracking through Google Ads Settings, the Google Analytics Opt-out Add-on, and Ad Preferences in your Facebook or Instagram account. 

7. How long we keep it

Account details: while your account is active, and three years after your last booking or login. Booking, invoice and payment records: eight years from the end of the financial year, as required under the Companies Act and GST law. KYC documents: the rental period plus one year, or until any dispute, claim or investigation closes. Call recordings and support chats: twelve months. Analytics and cookie data: up to twenty-six months. Opt-out records: kept so we do not contact you again.

If your account is inactive for three years we will notify you before deleting or anonymising your data.

8. Security

We use HTTPS/TLS in transit, encryption for stored documents and identity files, hashed passwords, role-based access with logging and periodic review, security obligations on all providers, regular vulnerability testing, and staff training. No system is completely secure. If a breach affects your data we will notify you and the Data Protection Board of India without delay, and tell you what happened and what to do.

9. Your rights

You may ask for a summary of the data we hold and who we shared it with; correct, complete or update it; ask us to delete it, except where we must retain it under tax law or for an open dispute; withdraw consent as easily as you gave it; nominate someone to exercise these rights if you die or become incapable; and complain to us.

Email privacy@rentrip.in from your registered address, saying which right you are exercising. We respond within thirty days, and may ask you to verify your identity first. There is no charge.

Marketing: where you have consented, we may send offers by email, SMS, WhatsApp or push notification. Opt out by clicking Unsubscribe, replying STOP, changing app settings or emailing privacy@rentrip.in. Transactional messages — booking confirmations, pickup details, receipts, refunds and safety notices — continue while your account is active.

10. Children

You must be at least 18 to create an account and must meet the age and licence requirements for the vehicle class. We do not knowingly collect data on anyone under 18, and we do not carry out behavioural tracking or targeted advertising directed at children. If we learn we hold a child's data collected without verifiable parental consent, we will delete it — write to privacy@rentrip.in. The same applies to persons with disabilities who have a lawful guardian.

11. Grievances

We acknowledge complaints within 24 hours and resolve them within 15 days. This is our service commitment, shorter than the one month allowed under the SPDI Rules, 2011.

If you are not satisfied with our response, you may complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023, after giving us a reasonable opportunity to resolve the matter.

12. Changes and governing law

We may update this policy. The date at the top will change, and for significant changes we will notify you by email or a notice on our website and apps before they take effect, and seek fresh consent where the law requires it. Earlier versions are available on request.

This policy is governed by the laws of India, and disputes are subject to the exclusive jurisdiction of the courts at Fatehpur, Uttar Pradesh.
